This page is maintained by BowlScoreboard to explain what we do with information collected through bowlscoreboard.co.uk. We keep it plain — no jargon, no dark patterns.
1. Who we are
BowlScoreboard is the data controller for information collected through this site. We are based in Ringwood & Poole, United Kingdom. Contact us at enquire@bowlscoreboard.co.uk or 07899 738344.
A UK limited company is being set up. Once registered — and, where required, once we are registered with the Information Commissioner's Office (ICO) — those details will be added here.
2. What we collect
We only collect information you give us or that we need to run the site. Specifically:
- Contact form submissions — the enquiry type (bowls club or local business), your name, the club or business name, email, phone number, and your message.
- Correspondence — any emails, calls, or messages you send us and our replies.
- Basic technical data — standard server logs from our hosting provider (such as IP address, browser type, and pages requested) used to keep the site secure and available.
We do not sell your data. We do not run advertising trackers or third-party analytics on this site at present. If that ever changes, we will update this policy and — where required — ask for your consent first.
3. Why we use it and our legal basis
- To reply to your enquiry and, if you go ahead, to set up your scoreboard or sponsorship — legitimate interests and, where applicable, steps taken at your request before entering a contract.
- To keep records of orders, sponsorship agreements, and correspondence — legal obligation and legitimate interests.
- To keep the site secure and diagnose problems — legitimate interests.
4. Who we share it with
We keep your information inside the business. We only share it with service providers that help us run the site and reply to enquiries, and only to the extent they need:
- Lovable Cloud (powered by Supabase) — hosts the website and stores contact form submissions in a database that only we can read.
- Our email provider — used to send and receive messages with you.
We do not currently use payment processors, analytics providers, advertising networks, or CRM tools through this website. If that changes, we will list the provider here.
We may also share information where we are legally required to, or to protect our rights (for example, to prevent fraud).
5. Where your data is held
Our hosting and database provider stores data on servers inside the UK / European Economic Area. Where any provider processes data outside the UK/EEA, we rely on appropriate safeguards (such as the UK Addendum to the EU Standard Contractual Clauses).
6. How long we keep it
- Enquiry form submissions: kept for up to 24 months after our last contact, then deleted, unless you become a customer.
- Customer / sponsor records: kept for the length of the agreement plus 6 years to meet UK tax and accounting requirements.
- Server logs: kept for a short period (typically up to 90 days) for security and troubleshooting.
7. Your rights
Under UK GDPR you have the right to:
- Ask for a copy of the personal data we hold about you.
- Ask us to correct information that is wrong.
- Ask us to delete your information (where we are not required to keep it).
- Object to, or ask us to restrict, how we use your information.
- Withdraw consent at any time where we relied on it.
To exercise any of these, email enquire@bowlscoreboard.co.uk. We aim to respond within 30 days.
If you are unhappy with how we have handled your data, you can complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.
8. Cookies
This site does not set marketing or tracking cookies. Our hosting platform may set a small number of strictly necessary cookies required to serve the site securely — these do not identify you and cannot be switched off without breaking the site. If we add analytics or marketing cookies in the future, we will present a consent banner first.
9. Security
We use industry-standard measures to protect your information, including HTTPS across the site, database-level access controls, and restricting access to enquiry data to the small BowlScoreboard team. No online system is 100% secure — please avoid sending sensitive information (for example card details) by email.
10. Changes to this policy
We may update this policy from time to time. When we do, the "Last updated" date at the top will change. Material changes will be flagged on the site.
